North London NHS Foundation Trust (NLFT)
M&E Asset Survey
Challenge
In November 2024, Barnet, Enfield, and Haringey Mental Health NHS Trust formally merged with Camden and Islington NHS Foundation Trust to create the new North London NHS Foundation Trust (NLFT). As part of the integration of these two trusts, a comprehensive M&E asset survey and tagging exercise was required across the newly expanded estate, all within a tight deadline. The scope of this project was substantial, covering: 62,996 sqm of estate, 14,500 individual assets and 3,300 fire doors. The project demanded a precise and efficient approach to ensure seamless integration into NLFT’s asset management system whilst maintaining operational continuity during the merger.
Solution
Sircle’s approach was specifically tailored to meet the demands of the newly merged trust and the extensive scope of the project. Our methodology comprised of several key phases:
Initial Planning and Collaboration
We began by conducting a thorough review of the survey requirements, establishing a detailed Element List, and collaborating closely with the client to ensure comprehensive coverage of all necessary M&E systems and assets across the expansive estate.
Comprehensive Data Capture
The asset survey involved collecting detailed information for each asset, including:
✓ Existing asset IDs to retain maintenance history
✓ Precise asset location and system classification
✓ Manufacturer details, model and serial numbers
✓ Capacity specifications and installation dates
✓ Current condition ratings
Lighting Survey to Support Green Initiatives
Non-emergency lighting was captured on a room-by-room basis to provide accurate data supporting the Capital Plan for LED upgrades, directly contributing to the trust’s environmental sustainability targets.
Lifecycle Assessment
We recorded comprehensive lifecycle data, including asset age and residual life expectancy, whilst identifying potential issues that could affect condition or present health and safety risks.
Technology-Enabled Delivery
This large-scale survey was conducted efficiently using iPads with proprietary data capture forms, enabling real-time data collection and immediate updates to the asset register throughout the project.
Outcome
The project was completed on schedule, aligning with the merger timeline of the two trusts.
North London NHS Foundation Trust received a comprehensive and accurate M&E Asset Register that delivered several key benefits:
✓ Seamless Integration. Survey data formatted for direct CAFM system integration, preserving historical maintenance records whilst supporting future operational requirements.
✓ Enhanced Capability. Improved maintenance planning and asset tracking with valuable insights for strategic planning and sustainability initiatives.
✓ Successful Merger Support. Smooth transition to unified asset management, establishing a solid foundation for NLFT’s ongoing facilities operations.
The project demonstrates the effectiveness of Sircle’s tailored methodology and collaborative approach in delivering comprehensive asset management solutions during complex organisational transformations.
