Scanning for a large NHS Trust
A major NHS Trust required a large amount of documents scanned so they could free up a room that has been used for a storage / dumping ground for too long. A room that could be better served as an office space especially at a time where social distancing is limiting the amount of people they can have on site at any one time. Also, with so many working from home, they needed to make the information readily accessible to avoid unnecessary journeys and lost time.
As the documents haven’t been stored logically or any form of register kept, the client was aware that valuable information can be used to support ongoing Projects, Maintenance, and tenders. To find one drawing could take several hours, and even then many had gone missing or simply couldn’t be found.
Sircle digitised and indexed them to create PDF documents before placing them within a document register to be filtered by site, block, floor, MEP service or even project reference. Rather than taking hours to locate a document, it now takes minutes saving them valuable operative time.
The files will be secure and free from deterioration, accidental damage, loss or misplacement. They will also support ongoing and future projects, therefore reducing future costs and the space can be better used.
The client’s small investment will provide significant returns not only for their department but all others, including Capital, Estates, Facilities, and Soft FM and procurement.
