Kingston Hospital

Kingston Hospital supports 350,000 people in Kingston and the surrounding areas. Sircle carried out an occupancy survey of the Foundation Trust’s entire estate, to help them identify opportunities for space utilisation.

What the client wanted

Being in an enclosed location, there was little room to expand the site area. The Trust were keen to reduce property costs, rather than spend on a new build. They were also moving staff from a building that had come to the end of its lease, and wanted to understand their position in relation to the Lord Carter report.

Having invested in the Planet FM system, they were keen to ensure this was accurate and providing them with a constant return on investment.

How we completed the project

We produced a survey scope that met the Trust’s requirements, and assigned Steve Spiller, an experienced Healthcare Project Manager, to work with them. He liaised with Paul Graham, the Trust’s Estates Analyst, to confirm project details. This included CAD and layering standards, departmental hierarchies, and the room data to be collected.

Our occupancy survey captured the following information:

  • Building outlines
  • Room functions
  • Departments in occupancy
  • Number of occupants
  • Hours of occupancy
  • Unique desk IDs
  • Telephone extensions.

To enable the Trust to use this data to determine under and overused space, we polylined their CAD drawings. This let us calculate the GIA and NIA and add these to the data sheets. The Trust could look at the floor areas of their rooms and compare this with the number of staff using them.

Steve then ensured the data was correctly updated on the Planet system.

The benefits

The occupancy survey revealed what spare desk space was available to the Trust, and this in turn helped them to drive down costs. By updating their CAD drawings and the data in their Planet system, they now have accessible up-to-date information, and they can anticipate future financial and spatial planning more easily.

Our update & audit service includes updating building outline drawings and core room data over a three or five-year period.
